Maintenance for privately managed estates

Pin it. Track it. Sorted.

One map and one open record for the shared land on your estate: the roads, green spaces, play areas and lighting your estate management company looks after. Residents pin a problem and watch it move. Staff fix it and keep the trail.

No app store. It runs in your browser on a phone or computer.

How it works

Shared ground should be looked after in the open.

Today a broken light means phone calls, emails and a WhatsApp thread nobody can find later. OurGround puts residents and their estate management company on the same map, with the same record. Big buttons, plain words, no training day.

01 · about a minute

A resident or a member of staff drops a pin where the problem is, writes a short note and picks Low, Medium or Dangerous.

02 · as the work happens

Track it

Staff move it along Reported → Seen → In progress → Resolved. Everyone can see where it is. Nearby open reports are flagged, so the same hole is not logged five times.

03 · and kept on file

Sorted

Every step is time-stamped and the history is never deleted. Export a CSV when you need a board pack, or to show what happened six months ago.

Residents & homeowners

Spotted a problem? Pin it. We'll keep you posted.

Long grass, a light out, a broken swing. Pin it on the map and follow it until it is fixed. No more wondering whether anyone read your email.

  • Drop a pin, add a short note, pick how serious it is
  • If it is already reported, add a +1 instead of a second pin
  • See for yourself when it is Seen, In progress and Resolved
  • See planned maintenance and site inspections
  • Neighbours and management see your username, never your real name

How you start

  1. Open OurGround and create an account
  2. Find your estate on the map, or use the join link from your estate management company
  3. Pin a problem. That is it.

We will never ask for your bank PIN or a one-time code from your bank.

Estate management companies

Every estate, every issue, one rota.

One company account covers every estate you manage. Residents report, and your staff triage and close the work. The planner schedules people across those sites from their skills, hours and holidays.

  • Fleet view: issues, maintenance and inspections for each estate
  • Schedule staff across sites, and see the gaps in plain English
  • Draw areas and assets on the map: lamps, bins, gates, play equipment
  • Complaints that follow your own procedure, a full audit trail, and CSV export

How you start

  1. Create an account and set up your company
  2. Add an estate (name and postcode), then activate it
  3. Copy the join link and send it to residents

No lock-in. Tell us how you work and we will reply by email.

Cost

What it costs.

One price: £1 per home, per year. The household pays it, or the company pays it and adds it to the estate charge. The company account is free. That £1 is what pays for OurGround, so there are no adverts: not on this website, not in the app.

Households pay nothing until 25 December 2026. Estates that start on OurGround from 26 December 2026 get their first 3 months free. After the free period it is £1 per home, per year. Stop any time by not renewing. Cancellation terms.

Estate management company

£0

Set up the company, add estates, run the work. No monthly fee, no per-estate fee, no per-user fee.

Setup is optional. You can set everything up yourself, free. Or our team can do it for you (your estates, maps and team, ready to go) for a cost based on the outcome of a free consultation. Ask us.

Households

£1 per home, per year

Free until 25 Dec 2026

Estates that start on OurGround from 26 December 2026 get their first 3 months free. Then £1 per home, per year. Nothing is charged automatically when a free period ends.

Through the estate charge

£1 per home, per year

The company pays £1 per home, per year and adds it to the estate charge. Same price, one bill, nothing for residents to pay separately.

Questions

The things people actually ask.

How much does it cost?

£1 per home, per year. Households pay nothing until 25 December 2026. Estates that start on OurGround from 26 December 2026 get their first 3 months free. After the free period the household pays £1 per home, per year, or the company pays it and adds it to the estate charge. The company account is free. The £1 is what keeps OurGround free of adverts.

Will there be adverts?

No. The £1 per home, per year is how OurGround pays its way, so there are no adverts on this website or in the app. We do not use your data for advertising.

Can we schedule staff across several estates?

Yes. Company admins add people, their skills and their working pattern, then plan the year across every estate the company looks after. You get a rota, a year chart, and a plain-English note of where you are short. Each worker sees only their own rota. See the company tools.

Do I need to install an app?

No. OurGround runs in a web browser on a phone or a computer. There is nothing to download from an app store.

Who can see my real name?

Other residents see the username you choose. Your real name is never shown to other residents or to your estate management company; only OurGround itself can see it, for account support. The full detail is in the privacy notice.

Does it use AI?

No. Nothing is guessed or decided for you. Reports go where you put them, status changes are made by people, and every change is recorded.

Is this for council-maintained roads and parks?

No. It is for privately managed estates, where roads, green spaces, play areas, drainage or lighting have not been adopted by the council and are looked after by an estate management company instead, paid for through an estate charge. Problems on adopted roads and council land should still go to your council. Many estates have both, and the map shows who looks after each area.

What if my estate management company is not using it yet?

A resident cannot open an estate on their own. Ask your estate management company, or email contact@ourground.co.uk and we will help you point them to this page.

Is there a lock-in?

No. Households who pay later can stop by not renewing. Consumers also have the cooling-off right set out in the terms of use.

How is our data protected?

The site and the app use HTTPS. We handle personal data under UK GDPR. This website does not collect account data. The company enquiry form sends us what you type so we can reply. The app collects account data, as explained in the privacy notice. We will never ask for your bank PIN.

What if something is dangerous?

Mark it Dangerous on the pin so staff see it first. OurGround is not an emergency service. If someone is in danger, call 999.
